Enrollment Process

How to enroll a student into our program:

Step One: Set up an evaluation

This is a critical first step because an evaluation is necessary to determine if the activity is a good fit for both the student and the horse. To schedule an evaluation, click the link below.  The evaluation fee is $75.  It must be paid when you schedule the evaluation to secure the date/time.  The fee is nonrefundable.  TRC cannot process the fee through Regional Center.  You may seek reimbursement through Regional Center after you pay the fee.

Step Two: Complete your scheduled evaluation

Arrive at TRC to complete your scheduled evaluation.  If it is successful, continue to Step Three.


Step Three: Fill out new student application

Fill out the new student application, available on our website using the link below. This can be emailed to info@trchb.org, printed and given to any instructor at the arena, or mailed to TRC:

Step Four: Determine your payment method

Lessons are offered as five 8-week sessions. View our class schedule by using the link below. Invoices are sent out prior to the start of the new session. It is your responsibility to see that the invoice is paid, either by yourself or by a third-party payer.  You are required to contact TRC’s bookkeeper, Liz D’Onofrio, at liz@trchb.org, and communicate which payment option you will be using.

Option 1 – Pay out of pocket (details below)

Option 2 – Regional Center (details below)

This step is very important. If you do not communicate to Liz your payment preference, the choice will default to Option 1.  The invoice will be sent to you, and you will be responsible for paying it. The student’s Service Coordinator does not contact the Bookkeeper, and TRC will not contact your Service Coordinator.  It is your responsibility to do so.  You are responsible for overseeing all the arrangements necessary for correct payment.


Step Five: Schedule your lessons

TRC Program Director will contact you to schedule day and time of your lessons.

Payment Options

Option 1: Pay out of pocket

An initial invoice will be emailed to you when the student begins lessons. It will be prorated to the number of lessons remaining in that session.  A payment link is embedded in the email. If the email does not show up in your inbox, check your junk folder. TRC does not bill on a monthly basis. Invoices cover the entire session. TRC does not accept partial or installment payments. The invoice is to be paid in full by week 3 of each session. Failure to pay the invoice in a timely manner will result in an interruption of your student's lessons by being placed back on the waitlist once full payment is received.

Option 2: Regional Center

Regional Center helps arrange for a third-party payer, called Financial Management Service (FMS), to handle the payments.

  • For Participant-Directed funding: funding code is 459 and TRC accepts these FMSs: Aveanna and Mij.  TRC does not accept Maxim for new students.

  • For Self-Determination funding:  funding code is 331 and TRC accepts these FMSs:  ACE, Accura, Action, FACT, Ritz, and CFMS, among others.  TRC does not accept Mains’l, Sequoia, or GT Independence for new students.

To ensure this arrangement happens smoothly, please discuss these key elements with your Service Coordinator:

1) TRC offers FIVE sessions each year, eight lessons per session. To view the calendar, click here.

2) TRC does not bill on a monthly basis.  Invoices cover the entire session. TRC does not accept partial or installment payments.  The invoice is to be paid in full. If the FMS fails to pay the full amount billed, you are responsible for paying the balance due and will be reimbursed by TRC for that portion after the FMS pays it.

3) To ensure that your budget for this service covers the full amount the FMS is to pay, it is necessary that you communicate to your Service Coordinator the correct cost and frequency of the lessons.

  • Group lessons are $500 per 8-week session (or $2,500 annually)

  • Private lessons are $800 per 8-week session (or $4,000 annually)

4) Prior to the start of each new session, TRC will prepare the invoice for submission to the FMS.  After you approve the invoice, the payment processing can begin.  Contact your FMS to learn their particular approval and submission procedure.

5) TRC will alert you if payment from the FMS is not received by week 3 of the session. It is your responsibility to resolve any issues causing a delayed payment. You will be required to make the payment in the meantime; TRC will refund your payment after FMS funds are received. Failure to pay the invoice in a timely manner will result in an interruption of your student's lessons by being placed back on the waitlist once full payment is received.
